2. Self-Registration
MadeInSweden supports self-registration, available via the link under the login area on the main page. When registering, you will enter the following information:
- Name: Your full name, as typically used professionally.
- Email: Your primary email address at your organization. This will be your login ID.
- Phone: Your phone number. Including the country code (e.g., starting with +46 for Sweden) is recommended.
- Password: A secure password (minimum 8 characters).
- Organization Name: The official, registered name of your organization.
- Organization Number: The official organization registration number (e.g., Swedish 'Organisationsnummer'). It is crucial this is entered correctly, as it's used to link subsequent users to the same organization.
-
Roles: Select the role(s) that apply to you:
Consultant
: Required for creating CV Profiles and applying for assignments.
Consultant Manager
: Provides access to manage consultants, CVs within the organization, contracts (as supplier), and other administrative features related to supplying consulting services.
Assignment Manager
: Provides access to create assignments, manage incoming applications, manage contracts (as customer), administer the organization, and other features related to procuring consulting services.
- Profile Picture (Optional): You can upload a profile picture during registration.
First User of an Organization
The very first user to register with a specific Organization Number will automatically be granted all available roles (Consultant, Consultant Manager, Assignment Manager) and will be immediately approved and active. This ensures the organization has an initial administrator.
Subsequent users registering with the same Organization Number will need to have their account approved by an existing manager (CM or AM) within that organization after confirming their email address.
3. Dashboard Overview
The dashboard is your main landing page after logging in. It provides quick access to relevant assignments based on their visibility and status:
- All Open Assignments: Shows assignments from any organization marked as 'Open' that are visible to you. This excludes assignments created by your own organization that are specifically designated to a group (those appear in the next section).
- Open Designated Assignments: Lists 'Open' assignments (including those from your own organization) specifically targeted towards Organization Groups that your organization is a member of, or groups owned by your organization. This allows partners to share opportunities within specific collaborations.
- Historical Assignments: Displays assignments that are no longer active ('Closed' or 'Filled') but were previously visible to you, allowing you to look back at past opportunities or placements.
Click on any assignment title to view its full details.
4. CV Profiles (Consultants & Managers)
This section allows Consultants and Consultant Managers (for their team) to create, manage, and utilize CVs (profiles).
- Creating CVs: Use the "New" option in the CV Profiles menu. Fill in basic info, roles, skills, experience, and education. Consultant Managers select the consultant the CV belongs to.
-
Managing CVs: The menu provides lists for different CV states:
- Drafts / Internal: CVs only visible within your organization. Drafts cannot be used for applications. Internal CVs can be used for applications to assignments within your own organization.
- Public: CVs visible to users in other organizations. Required for applying to assignments posted by other companies.
- Submitted: Lists CVs (regardless of their Draft/Internal/Public status) that have been attached to an application currently in Submitted, Approved, or Declined status.
- Editing & Duplicating: You can edit CVs until they are linked to a Submitted or Approved application. After that, they become locked to ensure application integrity. Use the "Duplicate" option to create a new, editable version if needed.
- Deleting: Locked CVs (linked to Submitted/Approved applications) cannot be deleted.
- Searching Assignments: Select one of your CVs (or your consultant's CV if you are a manager) to search for assignments that match its skills and roles.
- PDF Generation: Generate a formatted PDF version of any CV you can view.
5. Applications
Applications link a specific Consultant CV to a specific Assignment. Accessible to Consultants, Consultant Managers, and Assignment Managers.
- Applying: Find an assignment (via Dashboard or Search) and click "Apply". Select an eligible CV (Public for external assignments, Internal/Public for own-org assignments).
- Filling the Application: Provide a motivation, confirm how the CV matches requirements, and optionally specify pricing.
-
Managing Applications:
- Drafts (C/CM): Edit applications not yet submitted.
- Outgoing (C/CM/AM from creator org): Track applications submitted from your organization. View their status (Submitted, Approved, Declined, Internal).
- Incoming (AM from assignment org): Review applications submitted for your assignments. Approve or Decline.
- Forwarding (AM/CM managing a Brokered Assignment): If an application is submitted to an assignment that your organization 'brokered', you can 'Forward' it. This creates a new draft application linked to the original source assignment, allowing you to adjust details (like price) before submitting it to the original client.
- Visibility Controls (CM): When editing an application draft, Consultant Managers can control if the Consultant sees the application and price in their 'Outgoing' list.
6. Assignments (Assignment Managers)
Assignment Managers create and manage assignment opportunities.
- Creating Assignments: Use "New" to define title, description, required skills (with seniority), roles (with years), location, dates, etc.
-
Assignment Status:
Private
: Visible only to you (the creator).
Internal
: Visible only within your organization.
Open
: Visible publicly OR restricted to members of a specific Organization Group.
Filled / Closed
: Historical statuses for completed/inactive assignments.
- Designated Organizations: Optionally restrict 'Open' assignment visibility to specific Organization Groups you manage, enabling controlled sharing with partners.
- Brokering Assignments: If another organization designates an assignment to a group your organization belongs to, you can use the 'Broker Assignment' button. This creates a linked copy ('referred assignment') under your management. This allows you to manage the application flow and potentially 'Forward' applications back to the original source assignment (see Applications section).
- Managing Applications: Use 'List Applications' on your assignments to view, approve, or decline submissions.
- Searching Consultants: Use "Search Consultants" to find candidates matching your assignment requirements.
- Sending Emails: Use "Send Email" to notify contacts about selected open assignments.
- Editing & Duplicating: Edit assignments as needed (caution with requirements on Open ones). 'Duplicate' creates a copy.
7. Contracts (Managers)
Contracts are used by Consultant Managers and Assignment Managers to formalize agreements between Customer and Supplier organizations.
- Creating Contracts: Initiate a new contract, specifying Customer, Supplier, contact persons, terms, and optionally linking Consultant CVs.
- Contract Templates: Define reusable templates for common contract clauses under Administration -> Templates. Apply them during contract creation.
- Statuses: Manage the contract lifecycle: Draft -> Proposed -> Active -> Ended (or Rejected).
- PDF Generation: Generate PDFs of contracts. If CVs are linked and the option selected, CV PDFs are automatically appended.
8. Administration (Managers)
Consultant Managers (CM) and Assignment Managers (AM) access administrative functions via the 'Administration' menu.
- Manage Users: Oversee all users in your organization. Edit details, roles, activity status, consultant availability/location preferences, and assign managers (CM to C).
- Register User: Add new users directly. They receive a welcome email with a temporary password.
- Pending Approvals: Approve/decline users who self-registered and confirmed their email. Assign appropriate roles during approval.
- Manage Company: Update your organization's profile, addresses, logo, and upload official documents (PDF proofs).
- Manage Organization Groups (AM only): Create and manage groups of partner organizations. These groups are used when designating 'Open' assignments to restrict visibility.
9. Chat & Notifications
The platform includes direct messaging and notification indicators.
- Chat: Initiate conversations from relevant contexts (user lists, CVs, assignments, applications) using chat buttons. Access ongoing chats and see unread messages via the chat icon () in the navigation bar. Link CVs or Assignments directly in messages using the link icon ().
-
Notifications: Indicators (dots/badges) appear on menu items when there are new events requiring attention:
- Applications Menu: A dot appears for general application updates. Badges show counts for new 'Incoming' (for AMs) or status changes on 'Outgoing' (Approved/Declined).
- Administration Menu: A dot appears for general admin updates. A badge shows the count of 'Pending Approvals'.
Counts decrease as you view the relevant lists (e.g., visiting 'Incoming Applications' marks those notifications as read).
10. My Profile & Settings
Manage your personal account settings and information.
- Update Info: Change your name, job title, phone, and profile picture via the 'My Profile' link under your name in the top navigation.
- Change Password: Set a new password on the 'My Profile' page.
